ElderHomeList Privacy Policy

This Privacy Policy explains how ElderHomeList handles information through elderhomelist.com, the ElderHomeList applications, and Oracle-supported placement workflows. During prelaunch, some application features may remain unavailable or limited to testing.

1. Scope

This policy applies to family users, responsible parties, facility representatives, website visitors, mobile-app users, and people who contact ElderHomeList or Oracle Senior Placement Agency about the service.

It does not govern a facility's independent admission, resident-care, employment, or health-record practices.

2. Information we may collect

Account and contact information

Name, email address, phone number, login identifiers, authentication metadata, user role, account status, and authorized-representative information.

Family intake and placement information

Location, preferred radius, budget, funding, timeline, room needs, care needs, mobility, dementia or memory-care needs, hospice needs, non-ambulatory needs, two-person-assist needs, preferences, consent, shortlist activity, inquiry status, and tour preferences.

Facility information

Facility identity, license number, address, capacity, operator information, rooms, pricing, availability, funding, care capabilities, profile information, approved media, authorized users, and agreement or billing status.

Communications and operations

Support messages, inquiry communications, Oracle notes, provider outreach, tour communications, delivery events, complaints, and incident information.

Device and usage information

IP address, device and browser type, operating system, app version, timestamps, security events, approximate location derived from IP, pages or screens viewed, clicks, and error information, when these features are enabled.

Commercial information

Plan, rate, commitment, activation, invoice, processor identifier, subscription state, agreement acceptance, credit, adjustment, refund, and reconciliation information. Payment providers process payment credentials. ElderHomeList should not store full payment-card or bank-account numbers.

3. How information is used

  • Provide accounts and role-based access
  • Process family intake and deterministic fit review
  • Route inquiries through Oracle
  • Coordinate provider outreach and tours
  • Maintain facility profiles and data freshness
  • Protect security and prevent misuse
  • Provide support and operational communications
  • Comply with legal obligations
  • Maintain audit and incident records
  • Process authorized provider billing when enabled

4. Family information and facility access

Facilities do not receive source family intake records, Oracle notes, unrestricted family personal information, or another facility's private information. A facility may receive only a facility-specific, minimum-necessary payload after the required consent and deliberate Oracle approval.

Provider outreach is sent separately to each facility. ElderHomeList and Oracle do not use CC or BCC to disclose one inquiry to multiple facilities.

5. Paid listings and matching independence

Some facilities may pay for listing visibility and profile tools. Payment, plan price, Founding status, media purchases, or move-in credits do not determine hard-filter eligibility, match ranking, Oracle review, family-information release, tour priority, or placement guidance.

6. Service providers

ElderHomeList may use approved service providers for hosting, authentication, storage, email delivery, error monitoring, maps, payment processing, calendar coordination, and related operations. Service providers are permitted to process information only for authorized purposes and under applicable safeguards.

The public policy will be updated when the final production vendor and SDK inventory is confirmed.

7. Security

ElderHomeList uses administrative, technical, and organizational safeguards designed to protect information, including role-based access, server-side authorization, encryption in transit, environment isolation, logging, and minimum-necessary access. No system can guarantee absolute security.

8. Retention

Information is retained only for as long as needed for the service, security, legal obligations, dispute handling, audit evidence, and the approved ElderHomeList retention schedule. Different categories have different retention periods.

Deletion may not remove information that must be retained for fraud prevention, security, legal compliance, billing reconciliation, dispute resolution, or other lawful purposes. Retained information is restricted to the applicable purpose.

9. Account deletion and privacy requests

Users may request account deletion through the in-app account controls when available or through the public Account Deletion page at https://elderhomelist.com/account-deletion.

Users may also contact admin@elderhomelist.com to request access, correction, deletion, or other privacy assistance. Identity verification may be required before a request is completed.

10. Health and emergency notice

ElderHomeList and Oracle are not emergency, medical, diagnostic, or clinical services. Do not use ElderHomeList for emergency assistance or medical advice. Call 911 or the appropriate emergency or clinical professional for urgent needs.

Health-related information submitted for placement guidance may remain protected by privacy, consumer-protection, breach-notification, contract, and state law even when HIPAA does not apply.

11. Children

ElderHomeList is intended for adults age 18 and older. It is not directed to children, and users should not submit information through the service on behalf of a minor unless they have lawful authority and the information is necessary for an approved service workflow.

12. Changes

This policy may be updated as the service, vendors, legal requirements, and enabled features change. The effective date and version will be updated when material changes are published.
